Board of Managers Meeting

October 20, 2009

Present: Mick Cartwright, Eli Cohn, Bernice Giscombe, Sabin Meyer, Rob Parke, Ann Tannenbaum

Absent:                  Toni Schoen

Previous Minutes:

  • The Board approved the minutes of the last meeting.

Maintenance:

  • Mick reported that the contract for snow removal needs to be renewed.  He has a quote from a new vendor and will ask for a quote from Civetano the existing vendor.  He will share these with the Board.
  • Mick reported that all repairs to the tennis court and fence and necessary tree removal in the area had been completed.  The tennis court will close at the end of October.
  • Mick reported that the painting of the white areas of all units was complete except for a few follow-up items.  Painting of the black areas would begin in the spring.  We will look at including metal plates on garage and outside doors as this might provide protection from salt etc.
  • The Board discussed a letter from Tobias Guggenheimer proposing $6,000 to develop a plan to repair the perimeter wall over the next few years.  Mick said he would seek other options to prepare a plan for a phased approach to repairing the wall and report back at the next meeting.
  • Mick reported that Garrie Pest control had been on the property to label all pest boxes.  This would allow monitoring
  • Ann said she would assume oversight of the gardening for the Board.  She will ask Mary to assist.  She will review the gardening contact which will need to be renewed in March.

Swimming Pool:

  • Sabe reported that the heat pump had been repaired and was now working.  We expected to close the pool on November 30th if we had no additional problems with the heat system.  The screens had been replaced with glass.

Financial Accounts:

  • Eli handed out copies of the financial statements (attached).
  • Mick and Ann will provide Eli with picture id so that they can sign checks on the condominium account in Elis absence.

Miscellaneous:

  • Mick reported that Bay Management had arranged to have the swimming pool change rooms painted.  Nobody on the Board had authorized the job.  In addition the wrong paint was used and the workman had used Rolande’s equipment.  He will follow up with Bay to get an explanation.
  • Mick suggested that we obtain a lock box for the garage keys.  He will purchase one.
  • Mick said he had revamped the website.  He will notify homeowners with details.
  • Bernice said she would revisit the review of the bylaws.  Ann and Bernice will develop a proposed amendment for review by homeowners that will attempt to clarify the responsibility of homeowners versus the condominium with respect to maintenance and repairs of units.  This was unclear.  Bernice will report back in two meetings time with outline proposals.
  • Mick reported that Bay had been contacted by unit 21 because of water leaking into their basement.  Correcting this problem was not a condominium responsibility but Bay might be able to suggest possible contractors for the homeowner to contact and correct at their own expense.
  • Mick reported that the drain between units 12 and 13 was not clearing.  He would investigate having someone look at it.
  • Mick reported that the garage needed to be cleaned out.  If any homeowner was storing any items in the garage they should remove them because any unclaimed items will be disposed of.

Next Meeting:  The next Board meeting was scheduled for December 1, 2009.
