Previous Minutes:
- The Board approved the minutes of the last meeting.
Maintenance:
- Lauralynn reported that all the lights were working on the property and an underground wire that had been causing some problems had been replaced.
- Lauralynn reported that the drains between units 9, 10 and 11 had been cleared as they were backing up ($400).
- The Board discussed upcoming repairs and maintenance on the property.
- Mick had sent an email saying that he had not had a chance to call Rolande and Sean O’Connell to refresh their bids to undertake the repairs and painting to all the “black areas†of homeowners units and common areas that had been discussed at the last meeting. He would do that this upcoming weekend.
- Lauralynn requested that Bay obtain quotes to repair the perimeter walls. She suggested that one of the contractors contacted was Bento who had done the masonry work on the swimming pool. The work should be undertaken over a number of years with a view to spreading the cost but we needed to undertake some urgent repairs to prevent continued deterioration – in particular the caps along the top of the wall needed attention to prevent water from seeping into the walls that encouraged plant growth. Mary said she had removed some vegetation that was growing in the wall.
Swimming Pool:
- Lauralynn said that all repairs, including installation of the cross beams, had been completed on the swimming pool and that the pool was ready for use. Â Tobias Guggenheimer had completed all of the remaining work with no additional charges as he had agreed that this was part of the original contract signed with him.
- The Board agreed to open the pool. The Board decided that to aim for a water temperature of 80 degrees. In the summer it would be reduced to 78 degrees. This is what we had done last year with a significant reduction in the condominiums heating costs compared to previous years. If any homeowner needs a key to the pool he/she should contact Lauralynn.
- The Board discussed Mary’s request to consider painting the deck in the pool and decided that at this point it was an unnecessary.
- The Board requested that any homeowner who have left children’s’ toys in the pool building to remove them or they will be disposed of in the next few weeks.
- The Board agreed that no new plantings were required in the area around the pond (behind the sliding doors). The hostas in that area seemed to do well in the shade and looked good.
- The Board agreed that after all the work that had been done on the swimming pool that it would invite homeowners to a pool opening party on May 31st. Lauarlynn said she would talk to Cheryl Le Ban about organizing the party.
Financial Accounts:
- Lauralynn handed out copies of the financial statements that had been provided by Eli (attached).
Miscellaneous:
- Lauralynn reported that she and Mary had met with Bernice Gottlieb to discuss, among other things, her home office in the auxiliary building. It was a fruitful discussion and Bernice had assured them that the office was for her personal use and was not going to be used as a primary place of business and that visitors would not be using parkings outside the building. Lauralynn also reported that Bernice had provided her with copies of insurance on the office and had confirmed that building permits had been submitted to the town in advance of undertaking the work. Bernice had said that her electricity bills were extremely high for that office and Lauralynn asked Natasha to check that the condominium was paying a separate bill for electricity in the storage room and pool room and that this was not included in Bernice’s bill.
- The Board discussed a request from Bernice to have a key to the storage room in the auxiliary building. In the past there had been problems with homeowners leaving the room open and condominium property had disappeared. The Board felt it was best to limit access to the storage room. If any homeowner required access to the storage room they should contact Bay Management or a Board Member.
- Lauralynn said that unit 1 was for sale and that she had asked Bradley D. Wank of DelBello Donnellan Weingarten Wise & Wiederkehr, LLP to review the bylaws and offering documents with respect to that unit’s home office in the auxiliary building. A letter from Bradley discussing his conclusions is attached to the minutes.
- Bernice Giscombe said that she had not heard from any homeowners about working with her to review the letter handed out at the last Board meeting from Bradley D. Wank discussing his overview of the offering plan and by-laws (attached with the last minutes). Homeowners had asked the Board to have these reviewed particularly with respect to condominium versus individual homeowners’ responsibilities for repair etc.  The Board felt it was important that this work be undertaken for discussion at the next annual meeting and asked Rob to send an email to Toni and David Schoen and Ann Tannenbaum to request that they would work with Bernice on this important task.
- Lauralynn reported that homeowners continued to use the dumpsters to dispose of trash other than garden debris. Bay management showed the Board the signs that had been made that will be posted by the dumpsters to remind homeowners that dumpsters are for gardening debris only. The Board also asked Rob to send an email to homeowners reminding them of this as it was becoming a problem.
- Lauralynn said that the ladder that had disappeared from the garage had been accidentally loaded onto a contractor’s truck and had been returned.
- Lauralynn asked Bay to have the speed bumps installed on the driveway.
- Lauarlynn asked Bay to have the sprinkler system turned on. If Marenco was not giving good service the Board asked her to look at other vendors. Mary said she would obtain the name of the contractor used by the Historical Society.
- Natasha said that the tennis court would be opening on April 29th.
- Mary said she would ask Carlo to remove the ivy from the tees around the dumpster.
