Previous Minutes:
- The Board approved the minutes of the last meeting.
Maintenance:
- Mary said she would purchase one solar light to test. This will be placed in the circle at the entrance of the condominium so homeowners could assess performance.
- Mick reported that he and Eli had reached agreement with Rolande to begin painting the white areas of all condominiums:
- The job was divided into phases and each phase needed sign off on before the next phase could begin (see attached schedule)
- The job was beginning on Monday July 27 and was expected to be complete in September – weather permitting.
- Once we had assessed how the painting of the white areas was progressing we would negotiate the painting of the black areas
- Rolande would require access to patio screens and if they were able to be locked homeowners should leave them accessible.
- Homeowners should address all questions to Mick – cell phone number (917) 442 5366. If Mick was not available a homeowner should contact Bay Management or a member of the Board.
- The Board asked Rob to email homeowners notifying them of the anticipated schedule for painting. Bay will also put notices through homeowners’ doors.
- Mick said he had spoken with Garrie Pest Control who said that there were no problems with termites currently on the property. He had requested that they send copies of all reports documenting when they visit the property to check on traps and centricon devices. The Board asked Mick to schedule a walkthrough of the property with Garrie to address concerns that they were not adequately monitoring the rat traps.
Swimming Pool:
- Lauralynn said that a replacement for the broken glass pane in the roof had been ordered but there were significant delays. An additional pane had been ordered to avoid similar delays in the future.
- Lauralynn reported that the pool was getting a lot of use.
Financial Accounts:
- Eli handed out copies of the financial statements (attached).
Miscellaneous:
- The Board asked Rob to send Mick all necessary details so that he could also update the condominium website. This would ensure that it was kept up to date if Rob was not available.
- Mary reported that she had had asked the Automatic Sprinkler Company to look at the sprinkler system on the property. They provided good service to the Dobbs Ferry Historic Society and we were getting very poor service from Marenco.
- Automatic said we had a good system with sprinklers placed in the right spots around the property. Vegetation around some of the sprinklers had become overgrown and need to be trimmed as the performance of the system was being compromised. They had provided a quote of approximately $1,000 to readjust the system.
- They had adjusted the timing on the system and the system was now not working as planned. After discussion the Board asked Mary to call Automatic and ensure that the system came on only once a day- early in the morning for 20 minutes (when not raining). They also needed to ensure that the sprinklers around the tennis court were working as they were now not coming on.
- The Board asked Mary to obtain a quote from Automatic to open and closet the system.
- Lauralynn reported that the brick around the pond had been repaired and asked Natasha to check that Bernice’s Gottlieb’s step had also been repaired.
- Lauralynn handed out a quote for repairs to the perimeter wall. Natasha will obtain 2 additional quotes – including one from Bento who had worked on the swimming pool.
- Lauralynn said that it was reported in the Enterprise that the county and town had obtained funding for the crosswalk at the entrance of the development. Work was expected to begin Spring 2010.
- Eli said that the bushes behind his unit had not been trimmed. Laurlynn and Sabe said they would schedule a walkthrough of the properly with Carlos.
Next Meeting: The Annual Meeting of Homeowners was scheduled for Wednesday September 9, 2009 at the Dobbs Ferry library. The Board asked Rob to send out notices. Lauralynn said she would reserve the library.
